Media Studio
#Overview
Media Studio turns information your firm already keeps in LawyerPara (practice areas, lawyers, FAQs, events and
published reviews) into compliant posters, and publishes them to the firm's own social accounts after approval. It never
reads matters, clients, conversations or form answers.
Open it from the main menu (Media Studio, /admin/media). Staff need the Media Studio permission, and the
plan decides what is available. It has four tabs: Create, Library, Publishing and Social accounts.
| Plan setting |
What it controls |
| Media Studio |
Posters, images, library, brand kit |
| Social publishing |
Connecting accounts and publishing |
| Media Studio video |
Making videos and publishing them (Enterprise plans by default; not part of the trial) |
| Video length |
The longest video the plan allows: 4, 6 or 8 seconds |
| Videos per month |
AI videos each calendar month, counted in the firm's time zone |
| Images per month |
AI image generations each calendar month, counted in the firm's time zone |
| Social accounts |
How many accounts can be connected at once |
If your plan has no social publishing, you can still make posters and download them to publish anywhere by hand.
#Allowance and AI credits
Only generating a new main visual uses the monthly image allowance. Editing text, changing templates and colours,
re-exporting and publishing existing work never use it. A creative brief and an AI-drafted caption cost one AI credit
each. When the monthly images run out and the platform allows it, each extra image uses AI credits instead; the
screen says how many and shows your balance. Your own uploaded photos and library images are free to use.
Billing shows a Media Studio card for the month: images used against the limit, the date the allowance resets,
whether extra images use credits, and how many social accounts are connected against the plan limit.
#Projects
A project groups posters and posts under a goal (awareness, consideration, conversion or client care), a practice area,
an owner, dates and a call to action. Projects are optional. A conversion project needs a call to action before
anything can be published. When no enquiry tracking is connected, posts use a direct link and the project says that
enquiries are not attributed to the post.
#Making a poster
The Make a poster wizard has four steps:
- Purpose: practice area, legal tip, attorney profile, seminar or event, firm news, office hours, hiring, client
testimonial, consultation invitation or custom. A purpose your jurisdiction does not allow is locked, and the reason
is shown.
- Content: pick the practice area, attorney, up to three FAQs, event or published review, and add a line about it.
Attorney profiles and client testimonials need a consent tick first.
- Creative: language, preferred ratio and an optional AI brief (headline, bullets, call to action; one AI
credit). The brief is checked against the rules before you continue.
- Main visual: let AI generate one (uses the allowance), use a library image, or upload a photo (JPG, PNG or WebP
up to 8 MB). Photos of people are only placed by the template; they are never sent to the image model.
Then open the editor.
#Starting from your own pages
You will also see a Make a poster link in three places. It appears only if you hold the Media Studio permission
and the plan includes Media Studio.
- On each practice area in the practice areas list.
- On a calendar event that is a public event: a meeting with no matter, with Public event: can be promoted in
Media Studio ticked in the event form. Hearings, deadlines and meetings tied to a matter never get the link.
- On a published review that has a comment, when your jurisdiction allows client testimonials.
#The editor
Change the headline, subheadline, up to three bullets, badge, button text, template (Statement, Centered, Split, Frame,
Card, Notice), ratio and theme colour. Show or hide the logo, the firm phone and a QR code. Layers can be moved with
the arrow keys and resized with plus and minus. Changing words is free.
- QR code. It can only point to your firm's own public addresses: the booking page, website home page, a practice
area page, a smart form, WhatsApp click to chat, or a custom address on the firm's domain. A target that has no public
address yet is marked as unavailable.
- Disclaimer. Where the jurisdiction requires one it is always drawn on the poster and cannot be switched off. If it
does not fit at a size, that size is skipped on export; shorten the disclaimer in the brand kit.
- AI label. Where the rules require AI-made images to be labelled, an "AI-generated image" label is added and
cannot be removed. Elsewhere it is your choice.
- Library. Exported posters, generated images and uploads are kept here. From an item you can continue editing,
use it as a poster background, download it, publish it, or Use as website image to add a copy of it to a practice
area gallery on your website (this needs the Services permission). The website keeps its own copy, so deleting the item
from the library later does not take it off the website.
#Exporting
Export produces a JPEG file for each size you tick, all in one go, and the layout adapts to each ratio. JPEG is used
because Instagram accepts nothing else. The editable poster stays in your library, and exports never use the allowance.
Export is paused while the compliance check shows a block.
#Brand kit
The Brand kit button sets the logo, primary and secondary colours, tone, default language, jurisdiction rule set,
the firm's own disclaimer, default QR target, usual hashtags and whether posts are marked as AI-assisted by default.
Defaults come from your firm settings and website theme.
#Making a video
Make a video is on the Media Studio home page (the Create tab). It is available only on plans that include
Media Studio video, which is Enterprise by default. Trial firms do not have it. The platform also has to have
switched video on; if it has not, the page says Video generation is switched off and you can still make posters.
- Start from. Choose A photo or A description.
- A photo: pick one of your own photos, either an upload or an image you generated earlier. A photo that is
marked as showing a person is greyed out (Shows a person: cannot be animated), because photos of people are never
sent to the video model. Posters and other videos cannot be animated either. If you have no photo yet, use
Upload a photo.
- A description: write a sentence about the scene.
- What should move? Pick a motion (Slow push-in, Morning to midday light, City time-lapse,
Flowing abstract texture) or Describe it yourself and write the movement in your own words.
- Length and format. Choose a length of 4, 6 or 8 seconds, up to the longest your plan allows (longer choices
are locked and say so), and Portrait 9:16 (Reels, Stories) or Landscape 16:9 (LinkedIn, YouTube).
- Press Make the video.
#What a video costs
Every video uses 1 video from the month's allowance, whatever its length. The home page and the billing card show
Videos this month against your plan, and the date it resets. When the month's videos are used up and the platform
allows it, the screen says so and each extra video uses AI credits instead, with the price and your balance shown before
you start. If neither is available you are told, and existing videos can still be downloaded and published.
The video is reserved when you start. If it fails, is cancelled, or does not finish in time, the allowance (or the
credits) comes back to you automatically.
#Progress
A progress card shows the stages Queued, Rendering, Downloading and saving and Done. Videos usually take
1 to 3 minutes. You can leave the page: you get a notification when it is ready, and another if it could not be made. A
render that has not finished after 20 minutes is stopped and refunded.
Press Cancel and refund to stop a video you no longer want; the allowance is returned straight away. For a moment
while the system is checking on the video, or collecting the finished file, the cancel is refused with a message to try
again in a few seconds. A video that has already finished cannot be cancelled.
#Finding and using the video
Finished videos are in the Library (use the Videos filter). Open one to play it, press Download MP4, or
publish it. Videos made with AI carry the AI label where your jurisdiction's rules require it, and the label is added
when you publish.
#Compliance
The compliance panel in the editor checks your wording live. A block stops export and publishing until you fix it.
A review warning does not stop you, but you are asked to confirm that you checked it when you publish. The checks
cover restricted phrases (promised outcomes, implied certification), case-result claims, numeric promises, comparative
wording, possible client identifiers, missing required disclaimers, testimonial and attorney consent, and the AI label.
Rules are kept as data for each jurisdiction, with their sources and review date. They are rule-based prompts and are
not legal advice, and your firm remains responsible for what it publishes. The rule set is chosen automatically from the
firm's country; you can change it in the brand kit. Some rule sets only allow awareness content (legal information,
events, hours, news and custom posts) or forbid testimonials or promotions; those purposes are locked in the wizard.
#Social accounts
Connect accounts on Media Studio, Social accounts. Each platform opens its own sign-in page, and LawyerPara only
asks for permission to publish, never to read messages. You come back automatically. A platform shows as not open for
connections until the platform operator has switched it on.
| Platform |
What can be connected |
Notes |
| LinkedIn |
Company pages you administer |
Access lasts 60 days. You are reminded 7 days before it ends and must reconnect. |
| Facebook |
Pages, not personal profiles |
|
| Instagram |
Business or creator accounts linked to a Facebook page |
Feed images from 4:5 to 1.91:1, JPEG only. |
| YouTube |
Your channel |
YouTube takes videos only; images cannot be published to YouTube. Access renews automatically. |
| X |
The signed-in profile |
Images and videos are supported. Text is counted with X's weighting: a link counts 23, and Chinese, Japanese and Korean characters count double. Access renews automatically. |
Publishing needs the site to run on a public HTTPS address, because Facebook and Instagram fetch the image from it.
Your plan limits how many accounts can be connected at once.
Reconnect. If an authorisation expires or is withdrawn, the account shows Needs reauthorisation and Media Studio
shows a prompt on its home page. Scheduled posts to it fail until you press Reconnect.
Disconnect. Disconnecting revokes access and deletes the saved credentials. Scheduled posts to that account are
skipped, and its publishing history is kept.
#Publishing and approval
Open a poster and choose Publish to social. Tick the accounts, write one caption (Draft with AI costs one AI
credit), add per-platform versions if you like, confirm any warnings, and publish now or schedule a time up to 90 days
ahead. The required disclaimer and the "AI-assisted visual" label are added to the caption when needed and counted in
each platform's length limit.
#Publishing videos
A video is published like a poster: Publish to social from the library item or from the finished video. Videos can
go to YouTube, LinkedIn, Facebook, Instagram (as a Reel) and X. Each platform has its own limits on length, file size and
shape. A clip made in Media Studio is 4 to 8 seconds and MP4, so it fits all of them, and if a platform cannot take a
particular file the account row says why and it cannot be ticked. Images are not offered for YouTube, and a video is not
offered for a platform that cannot take it.
- YouTube needs three answers before you can publish: a title (1 to 100 characters, without the characters
< and >), the visibility (Private is chosen for you, or choose Unlisted or Public) and the answer to
Made for children?. There is no default for that question. Videos made with AI are marked on YouTube as
AI-generated (altered or synthetic content).
- Instagram publishes it as a Reel. LinkedIn, Instagram and X can show Platform processing for a few minutes
after you publish, while the platform finishes preparing the video; this is normal and the post is marked published
when the platform confirms it.
- X takes the video with the caption, counted by X's weighting as for images.
- Facebook publishes it on the page.
Approval, scheduling, Being verified and the other statuses below work exactly as they do for posters.
#Who approves
By default, a post from staff waits for approval. An approver is a firm administrator, or a partner or office manager
who holds the Media Studio permission. On the Social accounts page the firm sets two rules:
- Posts need approval. When off, posts go out without approval.
- Approvers may publish their own posts. When on, an approver's own post goes out directly. When off, an
approver's own post waits for a different approver.
If self-approval is off and the firm has only one approver, that person cannot approve their own posts, and the page
says so. Add a second approver (a partner or firm administrator with Media Studio access) before those posts can go out.
Approvers are notified, and the Media Studio home page shows how many posts are waiting. The reviewer sees the exact
captions per channel and either approves, or rejects with a reason that is sent to the person who submitted it. On
approval the content is frozen: what goes out is what was approved. A rejected post can be edited and resubmitted as a
new post. Only a post that is waiting for approval or scheduled, with nothing sent yet, can be cancelled.
#Publish statuses
Each channel is published, retried and reported on its own, so one failure does not affect the others. Statuses on the
Publishing tab include Waiting for approval, Scheduled, Publishing, Published, Failed, Rejected, Cancelled and
Being verified.
A failed channel shows the reason. The person who submitted the post, or an approver, can press Retry.
Being verified (unknown). If a platform does not answer clearly, the post may or may not be live. The channel shows
Being verified and is never sent again automatically. Press Verify to ask the platform now (a few times a minute
at most); the system also checks on its own every few minutes. The answer is one of:
- The platform has the post: it is marked published and will not be sent again.
- The platform still does not show it about 30 minutes after the attempt: you can Retry, but you must confirm a
duplicate-risk warning first, because the post may still appear.
- Not confirmed yet: the system keeps checking.
If a channel is still unconfirmed after about 24 hours, or its account was disconnected so it cannot be checked, the
person who submitted the post or an approver can resolve it by hand. Either Mark as published, by pasting the full
https link of the live post (nothing is sent; use the post link copied from the platform), or Close as not
sent, which is final and cannot be retried afterwards.
Every step is written to the post's History.
#Retention
Approved posts, their final text and their images are kept for the period the jurisdiction's rules require, and never
less than three years. Deleting an item from the library removes it from the library; the file itself is cleaned up
later, and only when no design, kept post or website image still uses it. You do not need to do anything to keep the
records the rules require.
#Super Admin
Which platforms are open, the image and video engines, the monthly allowances, usage and cost reports and the
jurisdiction rule sets are managed by the platform operator in the Super Admin area. Firms do not need to do anything
there. If a platform shows as not open, or image or video generation is paused, contact the platform operator.
For the platform operator: in Super Admin, switch Video generation on only after saving
the fal.ai API key (it is stored encrypted and only the last four characters are shown afterwards). The switch will
not turn on without a key. Choose the video engines (Text to video and Image to video), and use Test to check
the key without making a video. Video usage and cost appear in the usage tab, and each plan's video allowance and
maximum length are set on the plan.
